Event format

The event is a “double” sprint competition. There will be two sprint races, Race 1 and Race 2, with a rest period of around two hours between each race. For all classes, each race will have an expected winning time of 15-20 minutes – course lengths are shown in a table below .

Results will be displayed for each Race. The final placings for the competition will be based on the aggregate time for the two Races.

Maps (each A4 size) will be laser printed on Pretex water-resistant paper. No plastic map covers will be provided.

For all courses, control codes and control descriptions (using the International Orienteering Federation standard symbols) will be printed on the face of the map. (Loose control descriptions will also be available at the pre-start.)

Electronic punching/timing system

The SPORTident system will be used.

All participants must use the SIAC electronic contactless “punching” timing unit, to be loaned to them for the day of the competition by the organisers. No one may use their own SI timing unit, even if it is a SIAC.

IMPORTANT – all loaned SIAC timing units must be returned to the organisers by 14.30 on the day of the event. All SIACs will be collected in by the organisers, at the download station immediately after finishing Race 2. Any participant not returning a SIAC by 14.30 will be invoiced a EUR 70 charge.

Travel to the Competition Centre

If travelling by car, the parking area (free) is at Parking “Adenauer”. The easiest route is to travel to junction 8 of the A1, Luxembourg’s ring motorway, and follow signs for Luxembourg-Centre and Quartier Européen Nord. (If coming from the south, take the most right-hand lane on exiting the motorway.) You will pass along avenue JF Kennedy.

Then turn right into rue Richard Coudenhove-Kalergi. This turning is about 2.5 km from the motorway, or 1.5km from the rond-point Serra or its underpass. Drive about 400m to the top of this road, and go straight across the traffic lights at the intersection with boulevard Konrad Adenauer (49.62960, 6.15751), to enter the car park.

There will be no event-specific road signage, other than an orienteering marker kite on a post at the entrance to the car park. There will be no parking supervision.

Parking in the official Coque car parks is not recommended, as these do make significant charges, even on Sundays.

Once parked, please make your way on foot back to the entrance to the car park. From here, follow red and white tapes to cross boulevard Konrad Adenauer turning right, and walk along the front of the European School for 600 metres, before turning left into rue Léon Hengen. Total distance from car park entrance to Competition Centre is 1,000 metres.

If using public transport, there is a good bus service. From the Gare Centrale, on Sunday mornings from 07.00 bus routes 1 (quai 12 at xx.55), 16 (quai 12 at xx.20 and 50), and 18 (quai 1 at xx.10 and 40) run through the city centre directly to about 500 metres from the Competition Centre (one-way fare € 2.00). Get off the bus at the bus stop “Antoine de St Exupéry” on boulevard Konrad Adenauer, and walk back in the direction the bus has come. You will join the taped route coming from the car park.

From the Airport, bus 16 (at xx.19 and 49 on Sunday mornings, at xx.09, xx.29 and xx.49 on Saturday evening) passes the stop “Antoine de St Exupéry” on boulevard Konrad Adenauer. Get off here for the Competition Centre (see above), or go on to the city centre (one-way fare € 2.00).

Competition Centre

The Competition Centre is located at the Arcades Entrée 1 to The Coque Sports and Culture Centre, 2 rue Léon Hengen, L-1745 Luxembourg. The Coque is Luxembourg’s National Sports and Cultural Centre.

The Competition Centre will offer the following facilities – shelter, registration (both for entries on the day, and mandatory collection by pre-entrants of loaned SIAC timing devices), guidance for newcomers, SIAC download and return, and a large-screen rolling results display. There will also be toilet facilities. The Competition Centre will not offer showers, formal changing facilities, or a crèche.

It should be possible to read results on a “real-time” basis from smartphones, using wifi. Results will be uploaded to https://webres.helga-o.com . Wifi access is at the free hotspot.lu. QR codes with direct links to the website will be displayed at the Competition Centre.

Please respect the facilities we have hired – remove any studded or muddy shoes before entering. No smoking. No dogs are allowed inside the Competition Centre. Please do not leave any rubbish.

The spectacular Coque site offers an Olympic-standard swimming pool complex, and wellness centre (both open from 10.00 until 18.00 on the day of the competition, so bring your swimming kit!), as well as restaurants, a sports café and bar, and even a 36 bed hotel! For further information see http://www.coque.lu/en/presentation . Given the availability of these excellent public facilities, via the main entrance to the complex 100 metres away, the Competition Centre will not offer any food or drink.

Start times and start lists

Start times will be pre-assigned for all competitors competing in the Deutsche Park Tour classes – i.e. D or H 13/14 and all older classes. Start lists will be published for all pre-entrants, and any entrants on the day (see below) will have start times allocated to them at the “entry on the day” desk.

A separate start list will be prepared for each of Race 1 and Race 2, although all Race 2 start times will be exactly 2 hours 15 minutes later than those for Race 1. The start lists will be posted on this website (link) on or before Thursday 18 October.

Please contact the Organiser via weekend2018@orienteering.lu, if the start times that are allocated pose any particular problem.

For all non-Deutsche Park Tour competition classes, start times will not be pre-assigned before the competition. Pre-entrants to these classes will appear in the start lists as having a start time of 00.00.

Competitors in these classes will instead be given start times at the start area. This should in particular be helpful to parents with children competing in the D/H 11-12 and D/H 10- classes. However, please note that adults may only “shadow” children around the course so long as they do not then run their own race afterwards.

Entry on the day

Pre-entries close at 23.59 on Saturday 13 October, and anyone not entering before this deadline must enter on the day.

Entry on the day is possible for the courses and classes listed in the table below, but must be for both Races, and will be available only until 10.45, as the last start time for Race 1 is at 11.15. For some classes, entry on the day may have to close before this time, if pre-printed maps run out – but the organisers will do their best to accommodate everyone.

If you intend to enter on the day, or have missed the pre-entry closing deadline, please try to arrive no later than 09.30.

Registration for all competitors at the Competition Centre

Pre-entered competitors

All competitors who have pre-entered must still register at the Competition Centre, to collect the SIAC timing unit being loaned to every competitor for the day. Every competitor must register individually, and competitors should go to the desk that shows the first letter of the family name. It will not be permitted for a single club member to collect all the SIAC timing units for all the members of a participating club. One family member may however collect SIAC timing units for all members of a family.

Competitors will be asked to pay any entry fees that are still outstanding. Payment must be in cash – we cannot process payments by bank or credit card.

Entry on the day competitors, and newcomers

Please complete a short entry form, to show name, contact details, and course / class choice, before coming to the “entry on the day” desk area.

Entrants will then hand the form to the “entry on the day” desk, and pay the entry fees as shown in the table above. Payment must be in cash – we cannot process payments by bank or credit card. An entry voucher will be issued, indicating the course and class you have entered.

Entrants will then move to the adjacent SIAC collection point, to collect the loaned SIAC timing unit that all participants will use.

The entry voucher should be kept, and shown at the Start as proof of entry.

Newcomers

One or two of our experienced club members will be manning a “Newcomers” help-desk, and will be able to give guidance on which course to enter, or answer any other queries. Do please ask! Unfortunately we will not have any orienteering compasses available for loan. (Although very reassuring, a compass is not essential for sprint orienteering races.)

Loose copies of control codes and description lists will only be distributed at the Start, not at the Competition Centre. The only exception will be for entrants to the Open, and H/D 11-12 or younger, classes. Competitors in these classes will be able to pick up a loose copy of a “translation” (from the IOF symbols normally used) into “written word” form (available in English, French, and German), at the “Newcomers” help-desk at the Competition Centre, as well as being offered these at the Start.

Starts

The Start for Race 1 is 150 metres from the Competition Centre. Exit through the door beyond the toilets, from where the Start will be visible – note that, for security reasons, this door will be manned as “exit only”.

The Start for Race 2 is 600 metres from the Competition Centre. You should leave at least 15 minutes before your start time. Exit through the main entrance door, turn right, and follow red and white tape markers.

The start procedure is the same for both Races.

At the Start area and before call-up, please “clear” your SIAC timing unit at the trestle provided.

For pre-entrants or entrants on the day with an allocated start time, at 3 minutes before starting, your start time will be called, and you will be called up into the start area, and have your SIAC timing unit checked as “cleared”. A clock will be displayed showing the time of call-up (i.e. 3 minutes fast compared with event time).

For pre-entrants or entrants on the day without an allocated start time, and anyone else who is late and has missed their allocated start time, please report to the start official, He or she may be able to allow you to go into the start area immediately, or you may have to queue for the next available start time for the course you have entered.

Competitors who have not pre-entered will not already be on the start list, and so, before being allowed to participate, will need to hand the start official the voucher issued to them at the “entry on the day” desk.

At 2 minutes before starting, you will be called forward into the next area. Please pick up a loose paper copy of the control codes and descriptions (IOF symbols) list for your course, if you would like an extra copy. As noted above, all maps are also pre-printed with the control codes and descriptions (IOF symbols). At the trestle provided, you can also confirm that your SIAC timing unit is working in “contactless” mode.

At 1 minute before the start, you will be called into the final start area. Pick up your map, pre-printed with your course, when the beep to start sounds. Check carefully that you have a map that shows the course you have entered. For all Deutsche Park Tour classes, your race timing starts automatically as soon as you hear the beep to start.

Entrants to the Open, and H/D 11-12 or younger, classes must “punch” at a timing unit a short distance beyond the start line in order to start their timing. The start officials will help and remind you to do this.

On the course

Each control will have the control flag hanging from a small, light trestle, or a metal stake. Attached to the trestle or stake will be a timing sensor. At each control, please be sure to pass sufficiently close (about half a metre) to this sensor. Your SIAC timing unit will flash and beep for about 5 seconds to confirm that contact with the sensor was made. You do NOT need to insert your timing unit into the sensor, or touch it.

Please check that the control number shown on the SIAC timing sensor is the number of the control you are looking for, as shown on the control codes and descriptions list. In some areas, controls are placed quite close together.

Course lengths are running distances, based on optimum route choices.

On no course does total climbing exceed 25 metres.

During your race, please take great care of your safety, and that of other people. In particular:

  • There are roads within the competition area that are used by traffic. With one exception, these will be very quiet. One slightly busier road crosses the Race 2 area from north to south. All competitors will cross this road at a pedestrian crossing, which will have a control point at either side to enforce its use.

  • You must obey the Luxembourg “code de la route”. Please be attentive at all times when on or crossing roads, and avoid all moving cars and bicycles.

  • Be mindful that there are tourists and other non-orienteers in the Parc and Arboretum – please respect all members of the public, and be particularly careful when running round building corners.

  • Some Race 2 courses pass through a residential area – please respect the privacy and Sunday tranquillity of the residents.

  • You take part in this competition at your own risk. Luxembourg Orienteering Club asbl declines all liability, to the maximum extent permitted by law.

Some parts of the competition area are currently major construction sites. These are mapped with vertical purple hatching, and are “out of bounds”.

For Race 1, courses close at 12.00, and you must go to the Finish at or before 12.00. The timing system will close down at 12.05, in order to prepare for the first finishers from Race 2. Unless you present yourself at the “download” point in the Competition Centre by 12.05, your result for Race 1 will not be recorded.

For Race 2, courses close at 14.15, and you must go to the Finish at or before 14.15. The timing system will close down at 14.20. Unless you present yourself at the “download” point in the Competition Centre by 14.20, your result for Race 2 will not be recorded.

Controls will be removed starting promptly at 14.15.

Finish and afterwards

The Finish for both Races is 50 metres from the main entrance to the Competition Centre. The same last control is used for both Races.

Sensors at the Finish line will record your finishing time automatically, and you do not need to take any action at the Finish.

We hope to be able to provide drinking water at the Finish.

Maps will not be collected from finishers after either Race. Please observe the rule of fair play, and do not show your map to anyone who has yet to run the Race that you have completed.

Please then return immediately to the Competition Centre, and go to the “download” point, to download the data on your SIAC timing unit, and have your result recorded. You must visit the “download” point, even if you retire or are timed out. Failure to do this may result in the organisers having to search for you.

After Race 2, all SIAC units will be collected from competitors at the “download” point.
